Documented Filling Procedure for the Finished Goods Pod System

For the Finished Goods Pod System, the published Pod System filling instructions should be converted into the brand’s line SOP for its actual oil and equipment. The documented sequence is to:

1. invert the pod with the fill hole facing up; 2. use an 18-gauge or smaller side-hole needle; 3. keep the needle vertical and pierce the silicone at least 15 mm; 4. avoid piercing the same fill hole twice; 5. fill to 98% capacity rather than overfilling; 6. keep most oils at or below 125°F / 52°C unless the formulation requires supplier guidance; 7. hold the filled pod mouthpiece-down for 30 minutes to one hour; 8. wait until the oil returns to room temperature before packaging; and 9. store and saturate the pod in the documented orientation before use.

Record the oil, fill temperature, needle type, penetration depth, fill weight, hold time, cooling time, packaging orientation, and saturation period for every validation run. If the production setup differs from the published procedure, obtain supplier guidance and document the approved variation before scaling.

Finished Goods Pod System Acceptance Checklist

Approve the Finished Goods Pod System as a matched platform:

  • test multiple sampled pods in multiple sampled batteries;
  • test each battery with multiple pods;
  • confirm magnetic retention, contact stability, recognition, airflow, voltage behavior, and screen or indicator operation;
  • fill with the production oil using the intended SOP;
  • evaluate leakage, clogging, flavor, vapor, residue, and connection stability through the full intended fill;
  • cycle batteries across multiple pods and verify charging behavior and voltage consistency; and
  • retain approved pod, battery, artwork, and packaging references from the signed sample lot.

The approval record must identify the pod, atomizer, battery, firmware or control behavior, and decoration revisions. Any change that can affect fit, electrical contact, heat delivery, airflow, fill performance, or consumer instructions should trigger a documented review before the next lot is released.
