Approve Structure Before Final Artwork

Heavy ink, coating, foil, or lamination can change adhesion or mechanism behavior, so ask which treatments are prohibited in each zone.
Never redraw a dieline from a screenshot or approximate PDF. Use the current vector file supplied or approved by the converter.
Map Every Information Requirement
Before designing, list every item that may need space:
- brand
- product name
- format
- fill amount
- compatibility
- ingredients or materials
- warnings
- required symbols
- manufacturer or distributor information
- license data
- batch or lot
- barcode
- QR code
- instructions
- disposal information
- variable state labels
Requirements vary by product and jurisdiction. A qualified compliance reviewer should determine the current content for each market. Reserve flexible zones for state-specific information rather than forcing late labels over core branding or opening directions.
Define the principal display panel and intended shelf orientation. A layout that looks correct while flat can present sideways or hide essential information after folding.
Build a Compliance Copy Matrix
Create one controlled matrix showing required text and symbols by SKU and market. Give each statement an owner and source.
Mark:

This prevents designers from copying warnings from an old package or moving text between states without review. It also reveals whether one universal print run is practical or multiple versions are needed.

Design for the Assembled Package
Print and assemble a full-size mockup around the actual product. Examine the front, back, sides, top, bottom, opening sequence, and retail view. Check whether text crosses folds, seams, or abrasion points. Confirm small type remains readable, contrast is sufficient, and opening instructions appear where users need them.
For small vape and concentrate packages, resist shrinking required copy until it becomes unusable. Consider a larger carton, insert, booklet, peel-back label, or market-specific approach where permitted.
Child-resistant packages require extra discipline. Artwork must not interfere with locking features, cover release points, or obscure required instructions. Decoration that changes stiffness or friction should be reviewed with the supplier.
Control Color and Finishing Expectations
Colors on a monitor are not a production standard.
Define:
- spot colors
- process builds
- substrates
- white ink
- coatings
- finish targets
The same values will appear differently on white board, kraft stock, clear film, painted glass, or metal.
Use physical swatches and contract proofs where color is important. Foil, holographic effects, soft-touch lamination, matte coatings, spot UV, embossing, and debossing may affect scanning, rub resistance, folds, glue, and child-resistant mechanisms.
State what each proof approves. A digital PDF can approve layout and text but not necessarily substrate, ink density, finish, or tactile effect. A press sample or drawdown may be necessary for high-risk choices.
Validate Barcodes and Variable Data
Reserve a flat, quiet, high-contrast barcode area. Avoid folds, seams, curves, perforations, foil, and reflective coatings unless physical tests support them. Use the correct symbol, number, size, and treatment for the intended channel.
Scan the physical proof and production sample. Visual inspection alone cannot confirm performance.
Plan lot, date, license, and state-variable information before printing.
Define whether it will be:
- inkjet printed
- laser marked
- labeled
- preprinted
Confirm area, format, equipment, adhesion, rub resistance, and verification.
Test QR codes after printing and finishing. Confirm destination ownership, durability, size, contrast, and whether the linked content will remain appropriate throughout the package's life.
Run a Formal Cross-Functional Review
Assign reviewers by responsibility:
- Brand owns design and hierarchy
- Packaging engineering owns structure and production constraints
- Operations reviews assembly, coding, and line use
- Compliance reviews required content
- Procurement confirms supplier, finish, quantity, quote, and timing
Use one checklist and one consolidated comment set per round. Conflicting markups from separate emails create errors. The final approver should verify every comment was resolved, not merely that a newer PDF exists.
Inspect text at high zoom for spelling, punctuation, figures, trademarks, and font substitutions. Compare the proof against the approved copy matrix and prior revision with a difference review. Do not rely on memory.
Name and Control Revisions
Files named `final`, `final2`, or `new-final` are not change control.
Use a convention identifying:
- brand
- product
- market
- package
- revision
- date
Keep editable source, linked assets, images, fonts or outlined-text policy, and exported proof together.
Maintain a revision log stating what changed, why, who approved it, and which purchase order or lot uses it. Archive obsolete files away from the active production folder and mark them clearly.
The purchase order should reference the approved artwork and dieline revisions. The supplier should not accept production direction from an uncontrolled attachment in a later email.
Approve Proofs in Stages
A useful sequence is:
1. Structural proof: size, folds, locks, insert, and product fit. 2. Digital content proof: copy, layout, hierarchy, bleeds, and technical layers. 3. Color or finish proof: substrate, ink, coating, foil, and tactile targets. 4. Production sample: conversion, assembly, scan quality, fit, and finish. 5. Golden sample: signed reference retained by brand and supplier.
Not every project needs the same proof set, but state what each approval does and does not establish. A digital proof cannot approve closure force; a white structural sample cannot approve color.
Inspect Production Output
Artwork approval does not end quality control.
Define the supplier's in-process and final checks, sample size, limits, records, and disposition.
At receiving, verify:
- item

- visible print quality
- critical dimensions
- assembly
- barcode scans
- product fit
Retain production samples.
If a defect appears, isolate affected material and compare it with the golden sample and specification. Do not solve a print or structural error by applying labels or reworking locks without documented review.

The package must work at production speed. Pilot actual cartons, inserts, devices, labels, seals, and case packs with the intended operators.
Watch for:

A design can pass brand review and still fail operationally if its assembly sequence is slow or ambiguous.
Create a golden packed unit and concise work instruction. Define case count, orientation, lot placement, reconciliation, and line-clearance rules so artwork versions or state labels are not mixed.
Compare Production Quotes Correctly
One quote may include structural engineering, prototypes, proofs, inserts, assembly, and case packing while another covers only printed flat cartons. Normalize scope before comparing unit prices.

- plates

- minimums
- spoilage allowance
- labels
- packing labor
- freight
- storage
- inspection
- rework
A less expensive printed piece can create a higher total cost if it slows packing or needs corrective labels.
Clarify ownership of dies, files, proofs, and excess material. Ask how repeat orders are controlled and whether the supplier will confirm that structure, substrate, inks, and finishes remain unchanged.
